ProAthletIQ ("we", "us", "our") is an Australian-owned and operated platform that provides performance tracking and analytics for amateur athletes. We are committed to protecting your personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This Privacy Policy explains how we collect, hold, use, and disclose personal information. It applies to all users of the ProAthletIQ web application at app.proathletiq.com.au and the ProAthletIQ website at proathletiq.com.au.

By using ProAthletIQ, you acknowledge that you have read and understood this Privacy Policy and consent to the collection, use, and disclosure of your personal information as described herein.

Information We Collect

Information You Provide Directly

• Account information — your name, email address, and password when you create an account.
• Athlete profiles — athlete name, sport, position, and team affiliation.
• Performance and stat data — match statistics, game records, timed data, count data, and any custom stat labels you create.
• Team information — team names, seasons, and carnival event details (coaches and team managers only).
• Communication data — any information you provide when contacting us for support.

Information Collected Automatically

• Device and browser information — device type, operating system, browser type, and screen resolution.
• Usage data — pages visited, features used, time spent, and interaction patterns.
• Log data — IP address, access times, and referring URLs.
• Offline sync data — metadata relating to offline-recorded statistics synced when connectivity is restored.

Sensitive Information

We do not intentionally collect sensitive information as defined under the Privacy Act 1988, such as health information, racial or ethnic origin, or biometric data. Performance statistics recorded by users are treated as general personal information.

How We Use Your Information

We collect and use your personal information for the following purposes:

• To provide, maintain, and improve the ProAthletIQ platform and its features.
• To create and manage your account and athlete profiles.
• To record, store, and display performance statistics and match data.
• To generate performance trends, insights, and match reports.
• To facilitate team features, including coach dashboards and player invitations.
• To process data sharing between athletes and coaches or team managers based on your explicit consent.
• To send you service-related notifications (such as sync confirmations or account updates).
• To respond to your enquiries and provide customer support.
• To monitor and analyse usage patterns to improve user experience.
• To detect, prevent, and address technical issues and security threats.
• To comply with legal obligations under Australian law.

We will not use your personal information for purposes other than those stated above without first obtaining your consent, unless required or authorised by law.

Your Data Sharing Controls

How Sharing Works

When a coach or team manager invites you to join their team, you will see a clear consent screen explaining exactly what data will be shared and with whom. You must actively accept this invitation before any data is accessible. Declining an invitation means no data is shared — there is no penalty or restriction for declining.

What You Can Share

When you accept a team invitation, the coach or team manager can view your match statistics and performance trends for that team only. They cannot access data from other teams you belong to, or any personal account details beyond your athlete profile name and position.

Revoking Access at Any Time

You can disconnect from any team or revoke a coach's access to your data at any time from your account settings. When you revoke access:

• The coach or team manager immediately loses access to all of your performance data.
• Your historical stats remain in your own account — revoking access does not delete your data.
• You can reconnect to the same team later if you choose, and sharing will resume only from that point forward with your renewed consent.

Live View Sharing

ProAthletIQ offers a live view feature that lets spectators watch stats update in real time during a match. This is initiated only by the person recording the stats, and no login is required for viewers. The shareable link expires after the match session ends. No personally identifiable information is visible through the live view — only stat labels and values.

Match Reports

You may choose to generate and share match reports. These are produced at your request and shared at your discretion. We do not automatically distribute match reports to anyone.

Disclosure of Personal Information

We do not sell, rent, or trade your personal information to third parties.

We may disclose your personal information in the following limited circumstances:

• With your consent — to coaches or team managers you have explicitly authorised, as described in Section 4.
• Service providers — to trusted third-party providers who assist us in operating the platform (such as cloud hosting, email delivery, and analytics), subject to strict confidentiality obligations.
• Legal requirements — where required or authorised by Australian law, a court order, or a regulatory authority.
• Safety — where we reasonably believe disclosure is necessary to prevent a serious threat to the life, health, or safety of any individual.

Children's Privacy

ProAthletIQ is designed to be used by athletes of all ages, including minors. We recognise the importance of protecting children's privacy and take additional care with data relating to users under the age of 18.

• Accounts for athletes under 18 should be created and managed by a parent or legal guardian.
• We do not knowingly collect personal information directly from children under the age of 13 without parental consent.
• Parents and guardians can review, modify, or delete their child's data at any time through their account settings.
• Sharing with coaches or team managers for minor athletes requires the consent of the parent or guardian who manages the account.

If you believe we have inadvertently collected personal information from a child without appropriate consent, please contact us immediately and we will take steps to delete that information.

Data Storage & Security

We take the security of your personal information seriously and implement reasonable technical and organisational measures to protect it from misuse, interference, loss, unauthorised access, modification, and disclosure, in accordance with APP 11.

• Infrastructure — all data is stored securely on Amazon Web Services (AWS) infrastructure located in Australia (Sydney region).
• Encryption — data is encrypted in transit using TLS (Transport Layer Security) and at rest using AES-256 encryption.
• Access controls — access to personal information is restricted to authorised personnel on a need-to-know basis.
• Authentication — user accounts are protected by hashed and salted passwords. We never store plaintext passwords.
• Offline data — stats recorded offline are stored locally on your device until synced. We recommend keeping your device secure with a screen lock.

While we take all reasonable steps to protect your information, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security but will notify affected users and relevant authorities in the event of a data breach in accordance with the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act.

Cookies & Analytics

ProAthletIQ uses cookies and similar technologies to provide and improve the service:

• Essential cookies — required for the application to function, including session management and authentication.
• Analytics cookies — used to understand how users interact with the platform so we can improve features and performance. Analytics data is aggregated and does not identify individual users.

We do not use cookies for advertising or behavioural targeting. You can manage cookie preferences through your browser settings, though disabling essential cookies may affect the functionality of the application.

Your Rights Under Australian Law

Under the Australian Privacy Principles, you have the following rights in relation to your personal information:

• Access (APP 12) — you have the right to request access to the personal information we hold about you. We will respond to your request within 30 days.
• Correction (APP 13) — you have the right to request correction of any personal information that is inaccurate, out of date, incomplete, irrelevant, or misleading.
• Deletion — you may request deletion of your account and all associated personal information at any time. Upon receiving your request, we will delete or de-identify your data within 30 days, except where we are required by law to retain it.
• Data portability — you can export your match data and statistics via CSV export at any time from within the application.
• Withdraw consent — you can withdraw consent for data sharing with coaches or teams at any time, as described in Section 4.
• Complaint — if you believe we have breached the APPs, you may lodge a complaint with us (see Section 14) or with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

To exercise any of these rights, please contact us using the details in Section 14. We will not charge you for making a request, and we will not treat you differently for exercising your rights.

Data Retention

We retain your personal information only for as long as is necessary to fulfil the purposes described in this policy, or as required by law.

• Active accounts — your data is retained for the duration of your account's existence.
• Deleted accounts — upon account deletion, we will delete or de-identify your personal information within 30 days, except where retention is required for legal, audit, or dispute resolution purposes.
• Backup data — residual copies in encrypted backups may persist for up to 90 days before being automatically purged.
• Aggregated data — we may retain anonymised, aggregated data (which cannot identify you) indefinitely for analytical and product improvement purposes.

Cross-Border Data Transfers

Your personal information is primarily stored and processed in Australia. In limited circumstances, some of our third-party service providers may process data in other jurisdictions (for example, email delivery services).

In accordance with APP 8, before disclosing personal information to an overseas recipient, we take reasonable steps to ensure the recipient complies with the APPs or is subject to a substantially similar privacy regime. Where this is not possible, we will seek your consent before any transfer occurs.

Third-Party Links

Our platform may contain links to third-party websites or services that are not operated by us. We are not responsible for the privacy practices of these external sites. We encourage you to review the privacy policies of any third-party service before providing them with your personal information.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will notify you by posting the updated policy on our website and updating the "Effective Date" at the top of this page.
